DMS provides a wide range of "back-office" administrative services to California charter schools, including budgeting, accounting, payroll, purchasing, compliance, and many other functions. Due to our economies of scale and  established systems, we can provide such services at a substantially  lower cost than hiring and training on-site personnel. Our staff also  stays fully up-to-date on the latest legislative and regulatory changes,  passing this knowledge onto our clients.

At DMS, we strive for the happy medium - handling the administrative duties for your school without taking control, keeping you and your Board fully informed, and letting you get back to the real business of your school - educating California's children.  

By providing efficient back-office services at a reasonable cost, we ensure a stable operating environment for your school, minimizing costs, generating additional revenue (grants, categoricals, etc.), and ensuring compliance with local, state, and federal oversight and reporting requirements. However, we leave strategic management, curriculum, and overall control of the school’s direction at the local staff and board level, where it should be. We manage your business activities, not your school.

SCOPE OF ADMINISTRATIVE SERVICES
 
Fiscal Services
ACCOUNTING - all accounting and bookkeeping functions, using AptaFund, a web-based comprehensive finance and accounting system

BUDGETING - oversight and advisory role during budgeting process, assisting staff and Board with recommendations where requested

REPORTING - monthly reporting of budget vs. actuals to Board and staff

ONLINE ACCESS - password-protected website containing current and past financial information for board and staff review

24/7ACCOUNTS PAYABLE/RECEIVABLE - timely processing of all invoices, maintenance of solid vendor relationships, establish school's credit as an independent school, coordinate with COE/District staff to ensure timely and accurate cash flow transfers
 
Payroll / Human Resources
PAYROLL- all payroll functions, including distributing checks and/or direct deposit for salaried and hourly employees, tracking and paying all payroll tax deductions, and STRS/PERS integration

BENEFITS - researching benefit plan alternatives, assisting employees in subscribing for benefits

GENERAL HR -
coordinating hiring/severance paperwork, DOJ clearances, general HR oversight
 
Purchasing / Procurement
PURCHASING - online integrated ordering of student materials and supplies using AptaFund's Web-PR module, sending purchase information to accounting automatically

RESEARCHING -
research multiple vendors for major or recurring purchases -- analyze benefit of bulk purchasing program with other charter schoolswhere available

FIXED ASSET MANAGEMENT -
assisting school in creating and maintaining asset registers and inventory
 
Compliance & Reporting Services
STATE REPORTING - Assisting with Consolidated Application, Class Size Reduction, and other categorical reporting

ADA REPORTING -
including P-1, P-2 and Annual

DATA TRACKING -
CSIS/NCLB Data Tracking (depending on SIS system)
